Attendance Register Tab

Access the Scheduled Meeting

On the MeetingPal Home Page, locate the left-hand menu. Select Meetings.

From the dropdown list, locate and select the scheduled meeting for which you want to manage attendance.

Open the Attendance Register Tab

In the selected meeting’s dropdown menu, click Attendance Register.

The Attendance Register page will open.

Understanding the Attendance Register Page

The Attendance Register page displays all invitees and their attendance status for the meeting.

From this page, you can:

  • View who is marked as present or absent.
  • Manually update attendance.
  • Record attendee check-in times.
  • Monitor voting units represented.
  • Confirm quorum status.
  • Export attendance records.

Review Attendance Status

Each attendee record may display information such as:

  • Attendee Name
  • Unit Number or Ownership Details
  • Attendance Status
  • Check-in Time
  • Voting Rights
  • Proxy Representation

Common attendance statuses include:

  • Present
  • Absent
  • Proxy Present
  • Online
  • Checked In

Mark Attendees as Present or Absent

  • Locate the attendee in the register.
  • Click the attendance status field or checkbox.
  • Select the appropriate status.
  • Save the changes if required.

Attendance may also update automatically when attendees join using their personalised meeting links.

Search and Filter the Register

Use the search bar and filters to locate specific attendees quickly.

You may be able to filter by:

  • Attendance status.
  • Group.
  • Unit number.
  • Voting eligibility.
  • Proxy assignments.

Monitor Quorum and Voting Representation

The Attendance Register may display live summaries such as:

  • Total attendees present.
  • Units represented.
  • Voting weight represented.
  • Percentage of quorum achieved.

Use this information to confirm whether the meeting has met quorum requirements.

Export the Attendance Register

If available:

Click Export, Download, or Print Register.

Save the attendance report for audit and record-keeping purposes.

The export may include all attendance details and summary statistics.

Common Uses for the Attendance Register

The Attendance Register is useful for:

  • Recording attendance for governance purposes.
  • Verifying quorum.
  • Confirming proxy representation.
  • Producing official attendance reports.
  • Monitoring attendance during live meetings.

Best Practices

  • Review attendance before formally opening the meeting.
  • Confirm proxy holders are marked correctly.
  • Use attendee login links or QR codes to streamline check-in.
  • Export the final attendance register after the meeting.

Important Notes

Attendance may be updated automatically when participants join online.

Manual adjustments may be required for in-person attendees.

Attendance directly affects quorum calculations and voting eligibility.

Exported attendance registers can be used as part of the official meeting record.
