Using the PDFs Tab in a Scheduled Meeting in MeetingPal

Access the Scheduled Meeting

On the MeetingPal Home Page, locate the left-hand menu. Select Meetings.

From the dropdown list, locate and select the scheduled meeting for which you want to generate or download PDF documents.

Open the PDFs Tab

In the selected meeting’s dropdown menu, click PDFs.

The PDFs page will open.

Understanding the PDFs Page

The PDFs page provides access to automatically generated PDF documents related to the meeting.

From this page, you can:

Generate and download the meeting pack. Download the attendance register. Export voting results. Download meeting minutes. Access other meeting reports in PDF format.

View Available PDF Documents

The page will display a list of available documents, which may include:

Meeting Pack Agenda Resolutions Attendance Register Proxy Register Voting Results Minutes Communication Logs

Each document will typically include options to preview, generate, or download.

Generate a PDF

If a PDF has not yet been created:

Click Generate PDF next to the desired document.

Wait for MeetingPal to compile the document. Once complete, a download option will appear.

Preview a PDF

Click Preview or the document name. Review the PDF in your browser.

Use the preview to confirm the content and formatting before downloading.

Download a PDF

Click Download next to the required document. Save the file to your computer.

Regenerate PDFs After Changes

If you update meeting data such as agenda items, resolutions, or minutes:

Return to the PDFs tab. Click Generate PDF again to create an updated version.

This ensures the latest information is included.

Common Uses for the PDFs Tab

The PDFs tab is useful for:

Distributing meeting packs. Printing official meeting documents. Archiving governance records. Sharing attendance and voting reports.

Best Practices

Regenerate PDFs after making significant changes. Review documents before distributing them. Save final versions for audit and record-keeping. Use the PDFs tab to centralize all downloadable meeting documents.

Important Notes

Available PDF documents depend on your organization’s MeetingPal configuration. Large documents may take a few moments to generate. Previously generated PDFs may need to be regenerated to reflect recent updates. Access to certain documents may be restricted by user permissions.
