Invite Email Tab
Access the Scheduled Meeting
On the MeetingPal Home Page, locate the left-hand menu. Select Meetings.
From the dropdown list, locate and select the scheduled meeting for which you want to configure the invite email.
Open the Invite Email Tab
In the selected meeting’s dropdown menu, click Invite Email.
The Invite Email page will open.
Understanding the Invite Email Page
The Invite Email page allows you to:
- Create and edit the email content sent to meeting attendees.
- Insert the unique meeting link automatically.
- Add meeting details and instructions.
- Include custom branding and formatting.
- Save and preview the email before sending.
Edit the Email Content
On the Invite Email page, update the email message to include relevant information such as:
- Meeting title.
- Date and time.
- Venue or video conference details.
- Joining instructions.
- Voting and proxy information.
- Contact details for assistance.
MeetingPal may automatically insert placeholders for dynamic content, such as the attendee’s unique meeting link.
Insert the Meeting Link
Use the available merge fields or placeholders to include each attendee’s unique meeting URL.
This ensures every recipient receives a personalised link to join the meeting and access voting features.
Save the Invite Email
After making your changes, click Save Email in the bottom-left corner of the page.
Your custom email template will be saved for the selected meeting.
Preview or Test the Email
Before sending the email to all invitees:
Navigate to the Invitees page.
Click Notify Users.
Select Send Test Email to send a preview to your own email address.
This allows you to verify formatting, wording, and links before distribution.
Send the Invite Email
Once you are satisfied with the template:
- On the Invitees page, click Notify Users.
- Select the appropriate sending option, such as:
- Send All Unsent Invites
- Resend All Invites
- Send Invite Absent Invitees
- Send Invite Vetted Invitees
- Confirm whether suspended members should be included.
- Click Send to All.
Best Practices
Always send a test email before distributing invites.
Confirm the meeting link is included and working.
Use clear instructions for attendees.
Mention that emails may arrive in Spam or Junk folders.
Regenerate the meeting pack if the email refers to updated documents.
Important Notes
The Invite Email template is specific to the selected meeting.
Each attendee receives a personalised meeting link.
Saved changes will not be sent automatically; you must use the Notify Users function.
Some formatting options may vary depending on your organization’s configuration.
